Job Posting: Camp Administrator
Part-Time, Entry to Mid-Level, approx. 20 Hours per Week

Position Overview
In this role, you will support the heartbeat of our year-round operations, responding to families and rental groups, coordinating bookings, helping events come to life, supporting camper registration, and keeping our administrative systems running smoothly. You will work closely with our Executive Director and our seasonal staff team, helping to bring positive, accessible experiences to thousands of people each year. Key Responsibilities
Booking and Event Coordination
- Serve as the first point of contact for school programs, family retreats, community events, weddings, Christmas gatherings, birthday bookings, and more.
- Respond to booking inquiries submitted by email, phone, and online forms.
- Guide groups from their initial inquiry all the way through to event completion.
- Prepare venue quotes and assist with program package pricing.
- Participate in a rotating schedule for on-site tours and walkthroughs
Administrative and Office Support
- Process payments and manage accounts receivable.
- Complete credit card reconciliations.
- Support the Executive Director with filing, scanning, organizing documents, social media posts, and Canva design tasks.
- Update annual booking packages and handouts.
- Support seasonal staff communication and coordination.
- Manage the Campership Scholarship Program process so families can access support when needed.
- Assist with planning and hosting events such as Fall Carnival and Spring Family Camp Day.
Camper Registration Support
- Assist with registration setup and maintenance using Campwise.
- Provide calm, friendly support to families needing help with registration.
- Prepare and organize camper files for in-office use during programs.
Software and Workflow Management
- Use and update systems such as ASANA, Outlook, Excel, Slack, Connect Team, OneDrive, Zeffy, and Canva.
- Help keep workflow processes and internal communication systems organized and efficient.
Qualifications
Required Skills and Experience
- Clear Criminal and Vulnerable sector check
- Clear Child Intervention check
- One to three years of administrative, coordination, or customer service experience.
- Strong organizational and multitasking skills.
- Friendly, professional written and verbal communication skills.
- Comfort using email, spreadsheets, and modern software tools.
- Ability to learn new systems including Campwise, ASANA, Connect Team, and Zeffy.
- High attention to detail for quotes, payments, and scheduling.
- Ability to work independently while collaborating with a small team.
- Reliable transportation for on-site days
Preferred Qualifications,
- Experience in event coordination or office administration.
- Familiarity with Canva or similar design tools.
- Experience using Excel or Google Sheets beyond basic functions.
- Experience in nonprofit, camp, school, or community program settings.
- Comfort with Slack, OneDrive, ASANA, or workflow systems.
- Understanding of inclusive, barrier free practices, or a willingness to learn.
- Standard First Aid and CPR certification
